    Insert Operator

    Job Purpose:

    The Insert Operator is responsible for setting up the insert machine and producing accurate work on a timely basis. The Operator must work successfully within tight deadlines and use problem solving skills in a fast-paced environment.

    Essential Job Functions:

    • Set up and operate insert machines (Pitney Bowes, Gunther, and Bell & Howell inserters)
    • Work jobs with Ironsides technology when required
    • Perform daily maintenance on insert machine to ensure it runs efficiently
    • Conduct quality checks throughout the insert run
    • Complete associated QC sign-off sheets and prepare accurate paperwork
    • Report mechanical problems in a timely manner through appropriate channels
    • Adhere to client confidentiality requirements and HIPAA regulations
    • Act as backup for fulfillment and belter during downtime or as needed
    • Miscellaneous duties to help DMM attain corporate goals

    Belter/Sorter

    Job Purpose:

    The Belter/Sorter is responsible for preparing outgoing mail while ensuring 100% accuracy. The belter assists the insert operator by ensuring that all mail is prepared according to the job specifications.

    Essential Job Functions:
    • Prepare outgoing mail by sorting, labeling mail holders, and packaging as directed
    • Conduct quality checks throughout the insert run
    • Report mechanical problems in a timely manner through appropriate channels
    • Adhere to client confidentiality requirements and HIPAA regulations
    • Work with operator to manage any diverts according to SOP
    • Label mail trays in a timely and accurate manner; ensure envelopes are sealed and placed into correct mail trays
    • Wrap mail trays for postal delivery

    Account Coordinator

    Direct Mail of Maine, Inc. (DMM), a document solutions company, is seeking a dynamic, professional individual to join our Client Services team!  The Account Coordinator position will be responsible for providing administrative support to the Sr. Account team while learning about the business.  This position is a stepping stone to become an Account Manager.

    This is an excellent opportunity to join an industry-leading transactional print and mail company with national clients and two US locations. DMM is proud to have over 35 years of history in the industry, forming successful, strategic partnerships that last.

    Experience in customer service is desired. This position requires good interpersonal skills, proficiency in Microsoft office suite, attention to detail and the ability to multi-task. Project management experience would be helpful; knowledge of printing, mailing, or graphics arts is a plus!

    Job Purpose: 

    The Account Coordinator is responsible for administrative support to the Client Services team.  Responsibilities include assisting the Senior Account Managers with the client relationship, entering work orders, proofing, trafficking of jobs, reporting and billing. The Account Coordinator works closely with Production and provides support to the senior account management team as needed.

    Duties / Responsibilities

    • Coordinate order details and enter jobs into DMM’s order management system. This includes attaching samples, special instructions, data processing/postal requirements, proofing, and outlining the production specifications by department.
    • Work closely with other internal departments and outside vendors to monitor trafficking of jobs to ensure efficient and timely processing to meet customers’ expectations.
    • Communicate with clients on job processing status, resolving job discrepancies, material shortages, postage requests, proofing and assisting in checking materials for accuracy before sign off/release.
    • Monitor inventory and postage levels.
    • Escalate issues directly with the departmental manager as needed.
    • Advise internal servicing issues and troubleshoot issues directly with operations under the guidance of the relationship manager.
    • Consult team members and leverage knowledge for continued growth and to improve team effectiveness.
    • Provide backup for team members as needed.
    • Miscellaneous duties as assigned to help DMM achieve its corporate goals.

    Senior Systems Administrator

    Position Overview
    DMM is seeking a motivated systems administrator for our Scarborough location. The ideal candidate will be technical and can do both hands-on desktop support and systems/network administration. In this role, you will leverage your technical knowledge to be an integral part of a small team working directly with the user base providing technical support.
    This position is responsible for keeping the network functioning at optimal levels, including the internal network (LAN), a company-wide network that encompasses multiple locations (WAM), and the connection with the outside world. Duties also include server maintenance and backup, email administration, database administration, assigning and maintaining user login and access privileges, the actual hard-wiring of jacks to workstations and phones. The Systems Administrator is a critical player in protecting users from outside cyber threats, including hackers, viruses, spyware, and malware.
    Responsibilities will include Local Area Network, Microsoft Servers, Help Desk ticket response, Database management MS SQL, New Machine Setup, New Hardware acquisition and setup, Software License Management, Maintenance Contracts Management, Server Room Monitor, New Systems Upgrade, New Project Support, Vendor Management, Cloud Management, and Tools administration.

    Essential Job Functions:

    • Install and maintain all systems on the DMM network, including PCs, servers, switches, and appliances.
    • Performs all routine Network Administration tasks according to DMM policy and procedure.
    • Performing and documenting all server and PC updates, ensuring that DMM is current with patches but also testing in a test environment to ensure compatibility before deployment.
    • Provides helpdesk and advanced support to DMM users, both internal and external to the facility.
    • Maintains a complete history of hardware/software purchases, installations, and moves.
    • Maintains documentation on procedures and configuration changes, keeping records of change history, specifically with security changes (door keycard, firewall, auditing, etc.).
    • Maintain all software on the DMM network, including installations, upgrades, and updates.

    Senior Development Scheduler/ Service Delivery Manager

    Position Overview
    This exciting role will provide the opportunity to utilize detailed organizational skills and service delivery management. This position is responsible for continual review of the development pipeline and control of production incident failures to resolution. The individual in this role must evaluate, plan, execute, and finalize external client-facing and internal projects according to strict deadlines set by client service and other DMM management staff. Projects require short development cycle management for the marketing, print, mail, and information management industry.

    Essential Job Functions

    • Schedule project work for the DMM Programming/Development team and prioritize internal automation projects and client-specific programming requests.
    • Maintain an overview of workflow capacity in the Data Processing Operations area, alert capacity issues due to the incoming workflow.
    • Accountable for completion of all work in conformance with customer requirements.
    • Accountable for ensuring that all coded output conforms to auditing standards and adheres to DMM’s SDLC.
    • Document technical requirements, develop and oversee project plans, and implement change control procedures.
    • Participate in and lead cross-departmental system and workflow development.
    • Manage shifting priorities in a fast-paced environment.
    • Coordinate resources needed to complete a diverse workload of tasks.
    • Review project specifications to ensure that solutions align with internal and client needs. It also provides that code development is according to established SOPs and best practices.
